Ashvold ("we," "us," "our") provides done-for-you Google review response management for multi-location HVAC companies. This policy explains what information we collect, how we use it, and the choices you have. It covers both this marketing website and the service we provide to clients.
1. Information we collect
- Business and contact information you give us when you book a call or sign up: name, email, phone number, company name, and number of locations.
- Google Business Profile access: with your consent, you grant us manager-level access to your Google Business Profile listings so we can read and respond to reviews on your behalf. We only access what's needed to provide the service, including review content, star ratings, reviewer names as they already appear publicly on Google, and location details.
- Communications: emails, call notes, and support requests you send us.
- Payment information: processed by our third-party payment processor. We do not store full card numbers on our own systems.
- Website usage: this marketing site does not currently use analytics or advertising cookies. If that changes, this policy will be updated first.
2. How we use information
- To deliver the service: drafting and posting review responses, and reporting on response rates and rankings.
- To communicate with you about your account, backlog-clearing progress, and guarantee status.
- To improve our response templates and internal quality checks.
- To meet legal, tax, and accounting obligations.
3. Google Business Profile access
Access is granted by you, through Google's own permission system, and you can revoke it at any time from your Google Business Profile dashboard, independent of us.
We only use this access for the purposes described in your service agreement: reading reviews and posting responses. We do not change your business information, hours, or other listing details unless separately agreed with you.
Our use of Google user data complies with Google's API Services User Data Policy, including the Limited Use requirements.
4. Sharing of information
- We do not sell your information.
- We share information with service providers who help us run the business, such as hosting, email, payment processing, and scheduling tools, bound by confidentiality obligations.
- We may disclose information if required by law or to protect our rights.
5. Data retention
We retain client and review-response data for as long as you're an active client, and for a reasonable period afterward for accounting, legal, and dispute-resolution purposes, after which it is deleted or anonymized.
6. Data security
We use reasonable administrative and technical safeguards to protect information, including limiting internal access to what's needed to do the work. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your rights
- You can request access to, correction of, or deletion of your personal information by contacting us.
- You can revoke our Google Business Profile access at any time, independent of your service agreement, though this will prevent us from delivering the service.
- Depending on where you're located, you may have additional rights under laws such as the CCPA or GDPR.
8. Children's privacy
Our services are intended for businesses, not individuals under 18, and we do not knowingly collect information from children.
9. Changes to this policy
We may update this policy from time to time. We'll update the effective date above whenever we do.
